Privacy Policy
Northvire.me is intended to provide email without advertising profiles or behavioural advertising. This Privacy Policy explains what information may be processed when you visit Northvire.me or use a Northvire.me mailbox.
1. Who is responsible?
The person or organisation legally operating Northvire.me is the data controller for personal data processed to provide the service. The operator's full legal name, postal address and registration details must be added before public launch.
Privacy contact: privacy@northvire.me.
2. Information we process
- Account details: mailbox address, registration information, account status, password-verification data and mailbox quota.
- Email data: message content, attachments, sender and recipient addresses, subject lines, timestamps and routing information required for email delivery.
- Technical and security data: IP addresses, connection and authentication events, mail-client information, error details and anti-abuse signals, to the extent generated or retained by the website, mail server or security systems.
- Support information: messages you send to support or privacy contacts and our replies.
- Website and session data: information required to deliver the website, maintain secure sessions and protect forms. The current website is configured without advertising trackers or third-party analytics scripts.
3. Why we use your information
- Create and administer your mailbox and authenticate access.
- Receive, store, route, send and deliver messages and attachments.
- Provide webmail and standard IMAP/SMTP access.
- Detect spam, phishing, malware, abuse, account compromise and technical faults.
- Respond to support requests and maintain service reliability.
- Restore systems and services from protected backups where necessary.
- Comply with legal obligations and handle legal claims where necessary.
4. Legal grounds
Depending on the activity, processing may be necessary to provide the service you request or perform the service agreement, to comply with a legal obligation, or for our legitimate interests in operating, securing and preventing abuse of the service, where those interests do not override your rights.
Where consent is legally required, it will be requested separately.
5. Email confidentiality and encryption
When correctly configured and supported, TLS encrypts data while it travels between your device and a mail server or between mail servers. Standard email is not automatically end-to-end encrypted.
Mail content and metadata may be available to systems that store, filter, route or deliver messages, including Northvire.me infrastructure and the recipient's email provider.
You should not assume that Northvire.me administrators are technically unable to access mailbox content. Access should be restricted to authorised personnel and used only where necessary for operation, security, support or legal compliance.
6. Cookies and tracking
The website uses session-related mechanisms required for secure operation, including session cookies and anti-forgery protection.
The current website is configured without advertising trackers or third-party analytics scripts.
If non-essential analytics, advertising or embedded third-party technologies are introduced, this Privacy Policy and any required consent mechanism will be updated before such technologies are used.
7. Recipients and service providers
Personal data may be processed by hosting and infrastructure providers, domain and DNS providers, mail delivery and security services, backup providers and support providers used to operate Northvire.me.
When you send an email, recipient-side mail systems and providers also process information required to deliver the message.
The actual providers, their roles and processing locations should be documented once the hosting and supplier setup has been finalised.
Information may also be disclosed where required by law or where necessary to protect users, the service or legal rights.
8. International processing
Email may be delivered through providers located in different countries. The actual locations of Northvire.me hosting, backups and service providers should be confirmed and documented.
Where personal data is transferred outside the European Economic Area, an applicable legal transfer mechanism and appropriate safeguards will be used where required.
9. Data retention
Mailbox content is generally retained while the account is active, unless you delete it or another retention rule applies.
After account closure or deletion, data may remain temporarily in system backups, security records or legally required records.
Exact retention periods for mailbox deletion, backup rotation, server logs and support correspondence depend on the final server configuration. Northvire.me will define, document and publish applicable retention periods before launch and will not retain personal data longer than necessary.
10. Your rights
Depending on applicable law and the circumstances, you may have the right to request access, correction or deletion of your personal data, restriction of processing, data portability, or to object to certain processing.
Where processing is based on consent, you may withdraw your consent. To exercise your rights, contact privacy@northvire.me.
We may need to verify your identity before processing certain requests.
You may also lodge a complaint with your local data protection authority.
11. Security
Appropriate technical and organisational measures should be used to protect Northvire.me. These may include TLS, access controls, restricted administrator privileges, security updates, abuse detection and protected backups.
No internet service can guarantee absolute security. This Privacy Policy should remain aligned with the security controls actually deployed.
12. Children
Northvire.me is not intended for children below the minimum age at which they may independently consent to processing under applicable law.
If you believe that a child has provided personal data inappropriately, please contact privacy@northvire.me.
13. Changes to this Privacy Policy
This Privacy Policy may be updated when the service, infrastructure, suppliers or legal requirements change.
The revision date below indicates when this policy was last updated.
